How we collect, use, store, and protect your personal information.
Introduction & Scope
This Privacy Policy and the accompanying Legal Terms (together, the "Policy") govern your access to and use of medently.com and any related services, applications, consultations, communications, educational materials, flashcard systems, study tools, social media channels, and products provided by Medently ("we", "us", "our").
By accessing, browsing, contacting, or otherwise using our services in any way, you confirm that you have read, understood, and agreed to be bound by this Policy in full. If you do not agree, you must discontinue use of our services immediately.
Who We Are
Medently is an independent educational consultancy that assists international students in applying to study medicine and dentistry at partner universities across Europe, including UPJŠ (Slovakia), UPOL (Czech Republic), and UMCH (Germany), among others. Medently operates through one or more legally registered entities (collectively, "Medently").
Medently is not a university and does not issue diplomas, certifications, or admission decisions. Medently is an independent agency and does not act as the legal representative, employer, or governing body of any university. All admissions decisions are made solely by the relevant university. Our consulting services are provided to students free of charge; Medently is compensated by partner universities under standard agency arrangements.
Information We Collect
We collect only the information necessary to provide our services effectively. Depending on your interaction with us, this may include:
Personal identification
- Full name, date of birth, gender, nationality
- Phone number, email, residential address
- Passport details and government-issued identification documents
Educational information
- High school transcripts, predicted grades, diplomas, certificates
- Entrance exam results and English-language proficiency results
- Academic history, CV/resume, reference and recommendation letters
Application information
- Universities and programmes of interest
- Application status and submitted documents
- Interview records and admission outcomes
Financial information
- Limited billing data and tuition or deposit confirmations
- Scholarship-related documentation, where applicable
- Medently does not store complete payment card information; payments are processed by secure third-party processors
Technical information
- IP address, browser type, device information, operating system
- Pages visited, referral source, cookies and analytics data
Communication data
- Emails, WhatsApp messages, contact-form submissions
- Consultation notes, voice messages, and social media correspondence
How We Use Your Information
We use your information to:
- Provide educational consultancy and guidance services
- Process and submit university applications on your behalf
- Communicate with universities, partners, and authorities
- Schedule consultations, follow-ups, and meetings
- Provide entrance exam preparation, flashcards, and study materials
- Assist with relocation, accommodation, and visa processes

Because we work with international universities and students worldwide, your data may be transferred to and processed outside your country of residence, including in countries that may not offer the same level of data protection as your home jurisdiction.
Where required, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses, adequacy decisions, or your explicit consent.
Data Retention
We retain personal data only for as long as necessary to fulfil the purposes described in this Policy, comply with legal and regulatory obligations, resolve disputes, enforce agreements, and maintain accurate records.
Application records and related correspondence may be retained beyond the relevant admissions cycle for compliance, regulatory, statistical, and operational purposes. When data is no longer needed, it is securely deleted or anonymised.

Third-Party Services
Our communications, websites, and tools may integrate with or link to third-party services, including but not limited to Google Analytics, Google Workspace, Meta/Facebook, Instagram, TikTok, WhatsApp, Calendly, Stripe and other payment providers, and partner university application portals.
These third parties operate under their own privacy policies and terms. Medently is not responsible for the privacy practices, content, security, or policies of any third party and recommends that you review their terms before use.
Data Security
We implement reasonable technical and organisational security measures designed to protect your information, including:
- Secure storage on reputable cloud platforms
- Restricted access controls and role-based permissions
- Password-protected accounts and platforms
- Encryption in transit and, where appropriate, at rest
- Internal confidentiality, training, and information-handling practices
Despite these measures, no online system can guarantee absolute security. You acknowledge and accept that any transmission of information is at your own risk.
Children's Privacy
Our services are generally intended for prospective university students aged 16 and older. We do not knowingly collect personal data from children below the age of consent without appropriate parental or guardian consent.
If we become aware that we have collected personal data from a child without the required consent, we will take prompt steps to delete that information.
Marketing Communications
With your consent, or otherwise where permitted by law, we may send you service updates, application notifications, university opportunities, entrance exam information, educational content, and promotional materials.
You may unsubscribe from marketing communications at any time by using the unsubscribe link, replying to the message, or contacting us directly. This does not affect transactional or service-related messages necessary to deliver our services.
Terms of Use & Brand Protection
The rules that govern your use of our services, content, and brand — and how we protect both you and Medently.
Acceptance of Terms
By accessing, browsing, contacting, or using Medently's website, services, applications, materials, consultations, social media channels, flashcard systems, or any other touchpoint, you agree to be bound by these Terms in full. If you do not agree, you must immediately cease use of our services.
These Terms apply alongside any specific written agreement you may sign with Medently. In the event of a conflict, the specific written agreement prevails for the matters it covers.
Service Description & No Guarantees
Medently provides educational consultancy and guidance services. We do our utmost to support every student, but we make no promises about outcomes that depend on third parties.
Medently does not guarantee: (a) admission to any university or programme; (b) approval of any visa, residence permit, or immigration application; (c) issuance of any scholarship or financial aid; (d) the outcome of any entrance exam, language test, or interview; or (e) any specific timelines for processing by third parties such as universities, embassies, or government authorities. All such decisions and timelines rest solely with the relevant institution or authority.
User Obligations & Accuracy of Information
You are solely responsible for the truthfulness, accuracy, completeness, authenticity, and timeliness of all information and documents you provide to Medently. By submitting information you confirm that:
- All documents submitted are genuine, unaltered, and lawfully obtained
- You have read and understood the requirements, deadlines, and expectations of the universities you apply to
- You will promptly inform Medently of any changes in your information or personal circumstances
- You will not provide forged, falsified, fraudulent, or misleading documents or statements
- You are legally permitted to share any information you provide about third parties (e.g. parents, referees)
Providing false, misleading, or fraudulent information may result in rejection of your application, withdrawal of admission, immediate termination of our services, reporting to the relevant authorities, and other legal consequences. Medently bears no liability for any outcome arising from inaccurate information you have provided.
Intellectual Property Rights
All content, materials, designs, text, graphics, logos, photographs, videos, audio files, software, databases, flashcard systems (including but not limited to the UPJŠ entrance exam flashcard programme and the Medently AI tools), study guides, application templates, frameworks, methodologies, processes, name lists, and any other materials made available through Medently or its services (collectively, "Medently Content") are the exclusive property of Medently or its licensors, and are protected by copyright, trademark, database rights, trade secret, and other intellectual property laws.
You are granted a limited, non-exclusive, non-transferable, non-sublicensable, revocable licence to access and use Medently Content solely for your personal, non-commercial educational use in connection with your own application process. All rights not expressly granted are reserved.
Without our express prior written consent, you may not
- Copy, reproduce, distribute, publish, sell, resell, license, sublicense, lease, rent, or commercially exploit any Medently Content
- Modify, adapt, translate, reverse engineer, decompile, disassemble, or create derivative works of any Medently Content
- Share Medently Content — including flashcard sets, study materials, proprietary frameworks, internal documents, or process maps — with any third party, including other agencies or competitors
- Use Medently Content to train any machine-learning model or to populate any database, dataset, or service
- Scrape, harvest, crawl, screen-scrape, or otherwise extract data from Medently's websites, platforms, or tools by automated means
- Use the Medently name, logo, trademarks, trade dress, or any confusingly similar mark for any purpose not expressly authorised in writing
Permitted & Prohibited Use
You agree not to:
- Use our services for any unlawful, fraudulent, or deceptive purpose
- Misrepresent your identity, affiliation, age, or eligibility
- Interfere with the operation, security, or integrity of our websites, tools, or systems
- Submit malicious code, viruses, malware, or harmful content
- Harass, abuse, threaten, defame, or discriminate against Medently staff, partners, students, or any third party
- Impersonate Medently, its representatives, or any partner institution
- Use Medently's services, content, or relationships to assist competing agencies or for commercial advantage outside your own application
Violation of these provisions may result in immediate termination of services, removal of access, and pursuit of all available legal remedies, including injunctive relief and damages.
Confidentiality
In the course of providing services, Medently may share information about partner universities, internal application procedures, contact persons, commission arrangements, agency partnerships, internal pricing, draft documents, and strategic or operational matters.
You agree to treat all such information as strictly confidential and not to disclose it to any third party — including other agencies, social media, online forums, journalists, or competing institutions — during or after your engagement with Medently, without our express prior written consent. This obligation survives the end of our relationship.
Limitation of Liability
To the maximum extent permitted by law, Medently, its founders, directors, officers, employees, contractors, agents, partners, and affiliates shall not be liable for any indirect, incidental, consequential, special, punitive, or exemplary damages, including but not limited to loss of opportunity, loss of admission, loss of income, loss of profits, loss of reputation, emotional distress, loss of time, or loss of data, arising out of or in connection with your use of our services, the conduct of any university or other third party, delays caused by third parties, or any errors or omissions in any content or material.
In any event, Medently's total aggregate liability for any direct damages shall not exceed the total amount of fees paid by you directly to Medently in the twelve (12) months preceding the event giving rise to the claim. As our consulting services are generally provided free of charge to students, this amount is generally zero.
Nothing in these Terms excludes or limits any liability that cannot be excluded under applicable law, including liability for fraud, gross negligence, or death or personal injury caused by negligence.
Indemnification
You agree to indemnify, defend, and hold harmless Medently and its founders, directors, officers, employees, contractors, agents, partners, and affiliates from and against any and all claims, liabilities, damages, losses, costs, and expenses — including reasonable legal fees — arising out of or related to: (a) your violation of these Terms; (b) any inaccurate, false, or fraudulent information or documents you have submitted; (c) your misuse of Medently Content or services; or (d) your violation of any applicable law or any rights of a third party.
Disclaimer of Warranties
Medently's services, websites, content, and tools are provided on an "as is" and "as available" basis without warranties of any kind, whether express, implied, or statutory, including but not limited to warranties of merchantability, fitness for a particular purpose, accuracy, completeness, non-infringement, or uninterrupted availability.
Medently does not warrant that information, including university requirements, deadlines, fees, or procedures, will always be current, accurate, or error-free. You should independently verify all critical information with the relevant institution before relying on it.
No Endorsement of Third Parties
References on our website or in our communications to universities, programmes, services, products, organisations, or individuals are for informational purposes only and do not constitute endorsement, sponsorship, certification, or guarantee by Medently. You are responsible for your own due diligence before acting on any such information.
Fees, Payments & Refunds
Medently's consulting services are generally provided free of charge to students. Any fees you pay in connection with your application — including but not limited to application fees, deposits, tuition, examination fees, visa fees, medical examinations, document legalisations, and translations — are paid directly to the relevant university, government authority, or independent service provider, not to Medently.
Such fees are governed by the policies of those third parties, including any refund or non-refund policies. Medently is not responsible for, and is not obliged to refund, any fees paid by you to third parties under any circumstances.
Force Majeure
Medently shall not be liable for any failure or delay in performance caused by events beyond its reasonable control, including but not limited to acts of God, natural disasters, war, terrorism, civil unrest, pandemics, epidemics, government actions or restrictions, embargoes, university or government closures, internet or infrastructure failures, cyberattacks, strikes, or other labour disputes.
Right to Refuse or Terminate Service
Medently reserves the right, at its sole discretion and without prior notice, to refuse, suspend, or terminate services to any individual at any time for any reason, including but not limited to: violation of these Terms; submission of false or fraudulent information; abusive, threatening, or disrespectful conduct toward our staff or partners; reasonable suspicion of misuse of Medently Content; or any conduct that may harm Medently, its partners, its reputation, or other students.
Brand Protection & Anti-Defamation
You agree, as a material condition of using our services, that you will not:
- Publish, share, or distribute false, misleading, defamatory, or knowingly disparaging statements about Medently, its founders, staff, partners, or services on any platform, including social media, review platforms, forums, blogs, or to any third party
- Use the Medently name, logo, or trademarks in any manner that could cause confusion, imply false association or endorsement, or harm Medently's reputation
- Register domain names, social media handles, or business names that contain, resemble, or are confusingly similar to the Medently name or any related trademark
- Pose as a Medently representative, employee, or partner, or claim affiliation with Medently without explicit written authorisation
- Publicly disclose internal documents, screenshots of private conversations, partner agreements, commission information, or other confidential business information
Medently reserves all rights to pursue legal remedies, including injunctive relief, takedown requests, statutory damages, and recovery of legal costs, against any unlawful, defamatory, infringing, or otherwise harmful conduct directed at Medently, its founders, staff, partners, or students. Honest reviews and good-faith feedback are welcomed; this clause is intended only to address deliberately false, misleading, or malicious conduct.
Reporting Misuse & Impersonation
If you become aware of suspected misuse of Medently's name, content, materials, or services — including impersonation, unauthorised use of our logo or marks, social media accounts pretending to be Medently, or any third party fraudulently claiming to act on Medently's behalf — please contact us immediately at agent@medently.com so we can take appropriate action.
Changes to This Policy & Terms
Medently may update this Privacy Policy and Legal Terms at any time. Changes become effective immediately upon publication on this page unless otherwise stated. Where the changes are material, we will use reasonable efforts to notify you (for example, by email or by a notice on our website).
Your continued use of our services after changes are posted constitutes your acceptance of the updated Policy and Terms. We encourage you to review this page periodically.
Governing Law & Jurisdiction
Except where prohibited by applicable mandatory law, this Policy and any dispute arising from or relating to your use of Medently's services shall be governed by the laws of the European Union and the laws of the jurisdiction in which the relevant Medently entity is registered, without regard to conflict-of-law principles.
Any disputes shall be submitted to the exclusive jurisdiction of the competent courts of that jurisdiction. Where applicable consumer protection law grants you additional rights or alternative forums, those rights remain unaffected. Nothing in this clause prevents Medently from seeking injunctive or equitable relief in any competent jurisdiction to protect its intellectual property, brand, or confidential information.
Severability, Waiver & Entire Agreement
If any provision of this Policy is held to be invalid, unlawful, or unenforceable, the remaining provisions shall continue in full force and effect, and the invalid provision shall be interpreted to give effect as closely as possible to the original intent.
Failure by Medently to enforce any provision of this Policy shall not constitute a waiver of that or any other provision. This Policy, together with any written agreements or documents expressly referenced herein, constitutes the entire agreement between you and Medently regarding its subject matter and supersedes all prior or contemporaneous understandings.
